Property Administration Assistant

Chichester City Council currently has a vacancy for a Property Administration Assistant to work within the Property Team.

This role is office based in central Chichester. The salary will be SCP 16 to 20, £30,518 to £32,597, (pay award pending).

KEY DUTIES:

Responsibility for administration of asset management and inspection software to monitor the upkeep of Council property, structures and buildings.

Perform inspections, monitor inspections performed by other personnel, creation of new inspections and asset tag property as required and register them on the asset management and inspection software.

Administer and maintain the Risk Management Register ensuring employees are up to date and have signed the appropriate risks concering their role within the Council and report any concerns/issues to the Property & Maintenance Manager.

Administer and maintain Street Sign Register, liase with developers, post office, external councils and premises owners. Supporting the Council Services & Support Manager.

Assist in “Listed Building Consent” (LBC) applications.

THE SUCCESSFUL CANDIDATE WILL HAVE:

Good written and verbal communication skills

Competent in use of Microsoft Word, Outlook and PowerPoint and asset management tools

Good attention to detail

Able to work in a team and on own initiative

The successful applicant will support the Property & Maintenance Manager ensuring Health and Safety is always maintained. They will carry out appropriate annual and other inspections and Risk Assessments to ensure the City Council is compliant of its statutory undertaking.

They will be enthusiastic, adaptable and looking for a new challenge. They will also need to have flexibility to adapt their work pattern and work independently.

Civic Administration Officer

Chichester City Council currently has a vacancy for a Civic Administration Officer to work within the Council and Civic Support Team.

This role is office based in central Chichester. The salary will be SCP 16 to 20, £30,518 to £32,597 fte (pay award pending). Part-time 20 hours a week.

KEY DUTIES:

Responsibility to undertake administrative and secretarial duties in support of the activities of the Mayor, Town Clerk, the City Council and City Council Committees.

To provide administrative support to the Planning and Conservation Committee, and Council and other Committees, Sub-Committees and Working Groups as required, including production of agendas and minutes for, and attendance at Committees.

To provide a comprehensive administrative support service to the Mayor, including maintaining the Mayor’s diary.

To liaise with other staff as necessary to ensure smooth administration of the Council’s affairs.

To assist with the organisation and running of City Council Civic and Mayoral events.

To respond to press enquiries and queries regarding the Mayor, Civic activities and Council as required, in line with the City Council Media Policy.

THE SUCCESSFUL CANDIDATE WILL HAVE:

Good written and verbal communication skills

Competent in use of Microsoft Word, Outlook and PowerPoint and appropriate social media tools.

Good attention to detail

Able to work in a team and on own initiative

Strong customer service experience and dealing with members of the public.

Competent in drafting press releases, newsletters, web updates and other corporate communications

Have an understanding of data protection and accessibility requirements as related to electronic and other media

The ability to support the creation of interesting and effective material for use across all communication media in conjunction with the Communications Officer in support of the Mayoral and Civic functions.

Event management experience

They will be enthusiastic, adaptable and looking for a new challenge. They will also need to have flexibility to adapt their work pattern as necessary and work independently.
